Job Description/Responsibilities

The Compliance Coordinator supports the Regulatory & Compliance team with a primary focus on United States alcohol beverage compliance, while providing support for select international markets as needed. This position is responsible for coordinating and maintaining regulatory, trademark, and compliance-related information across jurisdictions, supporting trademark and brand protection activities, managing databases and records, maintaining team knowledge resources, and enabling efficient project execution.

The ideal candidate is highly organized, detail-oriented, self-directed, and proactive, with strong communication skills and a working understanding of regulatory compliance concepts. This role is essential in improving team efficiency, data accuracy, and cross-functional collaboration while ensuring timely and responsive support to internal stakeholders.

 

Key Responsibilities

  • Knowledge Management & SharePoint Administration
  • Maintain and organize compliance team’s SharePoint site, databases, trackers, and knowledge repositories to ensure accuracy, completeness, and version control
  • Support data analysis and reporting using Microsoft tools and other platforms to track compliance status, deadlines, and key metrics
  • Support development and upkeep of compliance reference materials, templates, training documents, and standard operating procedures
  • Ensure proper organization, naming conventions, and retention of regulatory and trademark records
  • Improve accessibility, usability, and structure of shared compliance resources to support global teams

Project Coordination & Process Support

  • Assist with project tracking, timelines, and deliverables for global compliance initiatives
  • Coordinate across internal teams (Legal, Brand, Marketing, R&D, Procurement, External Counsel) to support compliance reviews and approvals
  • Identify opportunities to streamline workflows, improve documentation practices, and enhance operational efficiency

Communication & Stakeholder Support

  • Serve as a responsive and reliable point of contact for internal clients and compliance team members
  • Communicate clearly and professionally across regions and time zones
  • Proactively follow up on open items, deadlines, and action steps

Regulatory & Trademark Support

  • Support domestic regulatory compliance activities across alcoholic beverage categories (spirits, RTDs, non-alcoholic products as applicable)
  • Assist with trademark-related tasks, including data tracking, records maintenance, and coordination with internal and external stakeholders
  • Maintain organized, accurate records of regulatory submissions, approvals, trademark filings, and related documentation
  • Support compliance workflows related to labeling, formulations, marketing claims, and market entry readiness

 

Qualifications/Requirements

Qualifications & Experience

Required

  • Bachelor’s degree or equivalent experience in compliance, legal studies, business administration, regulatory affairs, or a related field
  • 1+ years of experience in compliance, regulatory, legal operations, or coordination role (alcohol beverage or regulated industry preferred)
  • Strong organizational skills with exceptional attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities independently and meet deadlines

Technical Skills

  • High proficiency in database management, including building, maintaining, and improving trackers, records, and structured data systems to support teams.
  • Proven ability to organize, design, implement, and maintain efficient information management systems, process tracking and knowledge. (SharePoint expertise strongly preferred)
  • Proactive and action-oriented mindset; takes initiative and drives solutions without needing to be directed.
  • Ability to identify gaps, inefficiencies, or risks and take ownership to address them through practical, well-organized solutions
  • Familiarity with regulatory review, interpretation, and practical application
  • Ability to translate complex information into clear, plain-language guidance for cross-functional teams
  • Demonstrated creativity in developing tools, templates, and processes that make compliance requirements easier to understand and apply
  • Expert Microsoft Office Suite experience, including:
    • Excel (data tracking, formulas, pivot tables preferred)
    • Outlook (calendar and email management)
    • OneNote and Loop for collaboration and documentation
